Important Travel Requirement
From 25 February 2026, all EU/EEA delegates and other visa‑exempt travellers must obtain a UK Electronic Travel Authorisation (ETA) before travelling. Travellers cannot board flights, trains, or ferries to the UK without a valid ETA.
The ETA costs £16 (rising to £20 later in 2026) and is valid for two years or until the passport expires. Irish citizens are exempt.
What you’ll need to apply
- The passport you will travel with
- An email address
- A payment method: credit card, debit card, Apple Pay or Google Pay
- A digital photo (you will upload one or take one during the application)
Most applications are approved within minutes, but travellers are advised to apply at least three working days before travelling.

Newcastle-Gateshead Initiative have arranged discount rates for ICOP-L2 Conference attendees at a number of hotels close to the venue.
The closest hotel to Newcastle University's Frederick Douglass Centre (conference venue) is the Sandman Signature Hotel, but there are also several other good options too.
As any unsold rooms will be released back to the hotels four weeks prior to arrival. So, I encourage you to book rooms as soon as you can.
